WORK OBJECTIVE:

This is varied and highly independent paralegal and administrative work within a high visibility office. An employee in this class performs a high degree of internal and external public contact work. Duties include various paralegal and administrative functions, which require an extensive working knowledge of the organization and programs under the supervisor's jurisdiction. Emphasis is placed upon dealing with highly sensitive, confidential and diplomatic matters requiring extreme tact and poise. Assignments are made orally or in writing and work is reviewed through observation of results obtained, conferences and periodic reports or evaluations.

ESSENTIAL FUNCTIONS:

The omission of an essential function does not preclude management from assigning duties not listed herein if such duties are a logical assignment to the position. • Receives and screens telephone calls, greets office visitors and provides information requiring a broad knowledge of department programs, operations, policies and procedures • Administration of Board Resolution process • Preparation and distribution of meeting minutes • Prepares monthly Board agenda and packets for the NFTA’s Commissioners • Maintains a legal central filing system • Tracks incoming and outgoing requests for legal review • Coordinates and schedules meetings and travel arrangements • Forwards materials of highly confidential nature within the organization and to outside agencies. • Maintains control on incoming and outgoing correspondence and documents to insure timely replies • Independently composes and prepares routine correspondence and memoranda • Reviews work products for context, accuracy, punctuation, grammar, spacing and general appearance • Assembles reports and information and organizes materials to assist in report generation. • Assists in the budgeting process for the legal department • Schedules and coordinates conferences and meetings • Assists staff attorneys in all litigation including preparing pleadings, legal briefs, subpoenas, resolutions and related documents, maintaining litigation files and reviewing and maintaining medical records • Compiles, prepares and edits reports, resolutions, drafts, legal briefs, contracts, leases and other legal documents • Assists in the preparation and finalizing of agreements and contracts for services procured by the NFTA • Makes entries on legal calendar and assembles documents and exhibits needed for discovery in litigated matters • Perform additional duties and tasks as required.

KNOWLEDGE, SKILLS and ABILITIES:

Knowledge of Business English, spelling, punctuation, arithmetic and grammar. Knowledge of office practices and procedures, including e-filing procedures. Knowledge of local, state and federal court procedures and policies. Ability to compile data and prepare reports from files and other sources applicable to the topic of concern. Ability to maintain and retrieve complex office files. Ability to rapidly acquire knowledge of administrative and procedural regulations and work independently on complex and confidential administrative tasks. Ability to compose effective and accurate correspondence. Ability to deal with the public in an effective and courteous manner and establish and maintain effective working relationships with supervisors, other organizations and the general public.

PHYSICAL REQUIREMENTS:

Tasks involve the ability to exert light physical effort in sedentary to light work, but which may involve some lifting, carrying, pushing and/or pulling of objects and materials of light weight (5-10 pounds).

ENVIRONMENTAL REQUIREMENTS:

Work is performed in usual office conditions with rare exposure to disagreeable environmental factors.

MINIMUM QUALIFICATIONS:

An Associate’s Degree in Paralegal Studies or a related field and three (3) years of paralegal experience, or an equivalent combination of education, training and/or experience.
